Major areas of responsibilities include general accounting functions such as journal entries, AP-AR management, maintain ledgers, GL account review reconciliation, financial analysis, support internal & external audits as well as administrative related tasks and other financial reports as required by management.

Essential Duties and Responsibilities (other duties may be assigned):

  • Manage accounts payables; process check runs, and review/post all invoice payables which include both trade & general operations.
  • Responsible for vendor credit set ups; work with vendors to negotiate the best credit terms that benefit our business.
  • Resolve discrepancies and disputes with suppliers and maintain good relationships. Develop systems to monitors vendor accounts on a weekly & monthly basis.
  • Responsible for all the daily AP related accounting JE postings in Quantum.
  • Assist controller with Month End closing tasks.
  • Monthly reconciliation of all Interco billings from corporate & other sister companies. Monitor or track budget vs. actual company travel expenses.
  • Assist Controller with timely and accurate completion of the all quarter-FY end close reports as well as internal & external audit reports.
  • Assist with yearly forecasting/budgeting process.
  • Contract sales rebate/performance TAT fees tracking.
  • Will be cross trained to support AR Manager & Receptionist/switchboard duties.
  • Generate yearly 1099 reports for all eligible vendors. Help maintain current Resale certificates files.
  • Help maintain all accounting files; payable files, both trade and general operations, vendor files, receivables and credit files.
  • Responsible for other accounting/administrative reports and projects as required by Senior Management.


  • Strong accounting knowledge in ledger management, financial statements, bank reconciliation, and month and year end closing processes.
  • Must possess strong communication skills and be able to interact positively with co-workers, other departments, suppliers, and customers.
  • Computer literate; proficient in business computer systems, MS Office programs.
  • Must be extremely detail oriented and organized.

Supervisory Responsibilities: This position has no supervisory responsibilities.

Education and/or Experience: AA Accounting degree and/or three years related experience and/or training; or equivalent combination of education and experience preferred.

Language Skills:  Ability to write business correspondence. Ability to effectively present information and respond to questions from managers, vendors, customers, and employees.

Mathematical Skills:  Ability to apply concepts such as fractions, percentages, ratios, and proportions and apply to accounting situations.  Strong analytical understanding and interpretation of financial statements.
